The Problem
Closers finish calls and forget to log them. Sales managers chase the team for call notes. The CRM ends up half-filled, forecasting is guesswork, and follow-ups get dropped. Manual nagging annoys the team and still leaves gaps.
The Build
I built a Zapier flow that watches Calendly for new bookings across five closer routes. The flow filters out reschedules, formats the phone number to E164, converts the meeting time to ISO 8601 EST, then waits 45 minutes after the call ends. At that point Zapier looks up the assigned closer in Slack and sends them a tagged DM with a link to a GoHighLevel survey form. The survey captures call disposition, next steps, and notes. The data flows back into the CRM.
The Outcome
Closers stopped forgetting to log calls. Sales managers stopped chasing. The CRM stays clean. The pattern is reusable for any agency running Calendly into a multi-closer team.
